If an employee loses an access card or key fob, the missing credential should be disabled as soon as possible.
Even if the credential is later found, it should not remain active while its location is unknown. A lost card may allow someone to enter areas assigned to that user.
Most clients can disable and replace credentials directly in MCC Secure. MCC can also manage the change for you.
Step 1: Disable the Lost Credential
Start by signing in to the MCC Secure portal.
The exact menu names may vary, but the general process is:
- Open the user or access management section.
- Search for the employee or credential.
- Open the user’s profile.
- Locate the missing card or key fob.
- Deactivate, suspend, or remove the credential.
- Save the change.
Disabling the credential prevents it from opening doors, even if someone finds it.
Do not wait until a replacement is available before disabling the lost credential. Security first. Convenience can wait five minutes.
Step 2: Assign a Replacement Credential
Once you have a replacement card or key fob:
- Open the employee’s profile in MCC Secure.
- Select the option to add or replace a credential.
- Enter the new card or key fob number.
- Confirm the user’s access group, doors, and schedule.
- Save the changes.
- Allow a few minutes for the system to update.
Depending on your system, the credential number may be printed on the card or fob, or it may need to be read using an enrollment device.
Step 3: Test the New Card or Key Fob
After assigning the replacement credential, test it at an approved door.
Confirm that:
- The card or fob opens the correct doors
- Restricted doors remain locked
- Access works during the correct schedule
- The user appears correctly in access activity
- The old credential no longer works
Testing both the new and old credentials helps confirm that the replacement was completed correctly.
What If the Lost Credential Is Found?
Do not begin using the old card or key fob again unless it has been reviewed and reactivated by an authorized administrator.
In most cases, it is safer to leave the old credential disabled and continue using the replacement.
If the original credential is reused, make sure the replacement is removed or updated so the employee does not have two active credentials unless that is intentional.
What If the Credential Belonged to a Former Employee?
If the lost card or key fob belonged to someone who has left the organization:
- Confirm that the user is deactivated
- Remove all assigned credentials
- Review the user’s door permissions
- Remove mobile access, PINs, or alarm codes
- Update any administrator or emergency contact access
A missing credential should be handled as part of the employee turnover process, not treated as a simple supply replacement.
