If your postage meter shows a low ink message or the printed postage mark is light, streaked, incomplete, or difficult to read, the ink cartridge may need to be replaced.

MCC supports Quadient mailing systems. The exact cartridge location and menu wording may vary by model, but the general replacement process is similar across many postage meters.

When Should You Replace the Ink?

Replace the ink cartridge when:

  • The meter displays a low ink or empty ink message
  • The postage imprint is faded
  • The postage mark has streaks or missing areas
  • Printed postage is difficult to read
  • The meter prompts you to install a new cartridge
  • Mail is being rejected because the postage mark is unclear

Do not continue processing mail if the postage imprint is unreadable. USPS needs to be able to read the postage mark clearly.

Before You Start

Before replacing the ink cartridge:

  • Stop any active mail run
  • Make sure the meter is powered on
  • Have the correct replacement ink cartridge ready
  • Use only ink approved for your specific postage meter
  • Keep the new cartridge sealed until you are ready to install it
  • Follow any instructions shown on the meter screen

Using the wrong ink cartridge can cause print problems or damage the machine. This is not the place for “close enough.” The meter will know, and it will be dramatic about it.

How to Replace the Ink Cartridge

The exact steps may vary by model, but the general process is:

  1. From the meter’s home screen, open the Menu.
  2. Look for an option such as Ink, Cartridge, Maintenance, or Print Head.
  3. Select the option to replace or change the ink cartridge.
  4. Follow the prompts on the screen.
  5. Open the ink cartridge access cover.
  6. Remove the old cartridge carefully.
  7. Unpack the new ink cartridge.
  8. Remove any protective tape, seal, or cap from the new cartridge.
  9. Insert the new cartridge into the correct position.
  10. Close the access cover.
  11. Confirm the replacement on the meter screen.
  12. Allow the meter to complete any setup, alignment, or cleaning process.

Do not force the cartridge into place. If it does not fit easily, confirm that it is the correct cartridge and that it is facing the right direction.

After Replacing the Ink

After the new cartridge is installed, the meter may ask you to run a test print, alignment, or cleaning cycle.

If prompted, follow the instructions on the screen.

Then run a test envelope or label to confirm:

  • The postage imprint is dark enough
  • The mark is complete
  • There are no streaks or missing sections
  • The print is aligned correctly
  • The postage amount and date are readable

If the print still looks poor, run the meter’s cleaning process if available.

What If the Print Is Still Light or Streaked?

If the new cartridge is installed but the print quality is still poor, check the following:

  • Was the protective tape or seal removed from the cartridge?
  • Is the cartridge fully seated?
  • Is the correct cartridge installed?
  • Did the meter complete the cartridge setup process?
  • Has a print cleaning cycle been run?
  • Are envelopes feeding flat and straight?
  • Is the issue happening on all mail pieces or only certain envelopes?

If the postage mark remains faded, streaked, or incomplete after these checks, contact MCC for service.

How to Dispose of the Old Cartridge

Follow your organization’s supply disposal or recycling policy for the used ink cartridge.

Do not leave old cartridges near the machine where they may be confused with new supplies.

When to Contact MCC

Contact MCC if:

  • You are not sure which ink cartridge to use
  • The cartridge will not fit
  • The meter does not recognize the new cartridge
  • The ink message does not clear
  • The postage imprint is still faded or streaked
  • Ink appears to be leaking
  • The meter shows an error message
  • You need help ordering replacement ink
  • You are uncomfortable replacing the cartridge yourself

What to Include in Your Service Request

When requesting help, include:

  • Business name
  • Contact name
  • Phone number
  • Mailing system model
  • Serial number
  • Equipment location
  • Message shown on the meter
  • Ink cartridge part number, if available
  • Whether the cartridge was recently replaced
  • A photo of the postage imprint or error message, if helpful
