Copier meter readings help MCC keep accurate records for billing, service agreements, and equipment usage. Many MCC-supported systems are set up to send meter readings automatically, so you may not need to report your meter manually.
If your equipment requires a manual meter reading, MCC makes it simple to submit your numbers.
Do I Need to Report My Meter Reading?
Not always. MCC uses multiple methods to automatically collect copier meter readings when available. If your system is connected for automatic meter collection, you may not need to submit readings yourself.
You may need to manually report a meter reading if:
- Your equipment is not connected for automatic meter collection
- The automatic reading was not received
- MCC contacts you requesting a current meter
- Your equipment was recently installed, moved, or reconnected
- There is a billing or account update that requires a current reading
If you are unsure whether you need to report your meter reading, contact MCC and we can confirm your account setup.
The Easiest Way to Report a Meter Reading
The easiest way to report a copier meter reading is by using the MCC Express Passport.
Each system installed by MCC includes an Express Passport with a QR code tied to that specific piece of equipment. When you scan the QR code, your account and equipment information are already connected to the form.
To report a meter using the Express Passport:
- Scan the QR code on the Express Passport for the correct copier.
- Tap Report Meter.
- Enter the current meter count or counts from the copier.
- Review the numbers for accuracy.
- Tap Submit.
If your office has multiple copiers, make sure you scan the Passport for the machine you are reporting. Each Passport is tied to a specific system.
Other Ways to Report a Meter Reading
If you cannot use the Express Passport, you can also report your meter reading by phone or email.
Report by Phone
Call MCC and provide the current meter reading to a Client Service representative.
Before calling, have the following information ready:
- Business name
- Contact name
- Copier model
- Serial number
- Current meter reading
- Equipment location, if your office has multiple machines
Report by Email
You can also email your meter reading to MCC.
When emailing a meter reading, include:
- Business name
- Contact name
- Phone number
- Copier model
- Serial number
- Current meter reading
- Date the reading was taken
- Equipment location, if needed
Providing the serial number is especially important if your company has more than one copier or printer.
How to Find the Meter Reading on Your Copier
The exact steps may vary depending on your copier model, but meter readings are usually found from the machine’s control panel under a menu such as:
- Counter
- Meter
- Usage
- Device Information
- Reports
- Machine Status
Some systems may show separate readings for black-and-white and color usage. Others may show total counts, print counts, copy counts, scan counts, or multiple billing meters.
If you are not sure which number to report, contact MCC before submitting the reading. Guessing at meter readings can cause incorrect billing.
Before You Submit
Before sending your meter reading, double-check:
- The reading is from the correct copier
- The serial number matches the machine
- The number was entered correctly
- Any black-and-white and color counts are entered in the correct fields
- The reading is current
Accurate meter readings help prevent billing delays, corrections, and follow-up requests.
